Confirm and handle your appointments

See every visit through

A customer who requested an appointment has already taken an important step. If you confirm it quickly, they arrive knowing someone is expecting them; if nobody answers, it's easy for them to go to another seller.

In PanelCitas (“Panel > Appointments”) you have every visit request for your cars. The ones buyers request from the ad arrive as Solicitada (“Requested”); the ones you book from the chat arrive already Confirmada (“Confirmed”). The panel is in Spanish, so each text comes with its translation.

In this guide you'll confirm, handle, and, if needed, reschedule your appointments.

Confirm the new ones

Check the requested ones

Go to PanelCitas. New ones are in «Solicitadas» (“Requested”), the tab that opens first.

Confirm it

Tap «Confirmar» (“Confirm”). You'll see «Cita actualizada» (“Appointment updated”) and the appointment moves to «Confirmadas» (“Confirmed”).

If the customer agreed to receive WhatsApp notices, they get the confirmation with the date and location.

If under «Fecha preferida» (“Preferred date”) you see text instead of an exact time, for example, tomorrow after 5, message them to agree on the time before confirming.

Handle, reschedule, or cancel

When the customer arrives, tap «Atendida» (“Attended”).

If something changes, each appointment has options:

«WhatsApp» opens the conversation with a ready-made message: «Confirmar la cita» (“Confirm the appointment”), «Recordar la cita» (“Remind about the appointment”), or «Reagendar» (“Reschedule”).
«Calendario» (“Calendar”) adds it to your Google calendar or Outlook, or downloads it as a file. It only appears if the appointment has an exact date.
«Cancelar» (“Cancel”) cancels it as soon as you tap it, without asking for confirmation. If the customer agreed to WhatsApp notices, they're notified too.

Keep in mind

Appointments go through Solicitada, Confirmada, Atendida, or Cancelada (“Canceled”).
An attended or canceled appointment no longer changes state. If you canceled by mistake, book a new one from the chat or from the customer's case.
With the search at the top you can find an appointment by customer, phone, email, or car.

Tip

The day before each visit, use «WhatsApp» and choose «Recordar la cita». A timely reminder keeps the customer from forgetting or showing up at a different time.
